AI Implementation Checklist for Business Teams

Start AI implementation with one repeatable workflow, one accountable owner and a measurable baseline. Define approved knowledge and actions, connect only the systems the workflow needs, test exceptions, and expand after the pilot performs acceptably. Automate Planet helps teams carry out that process.

Choose a workflow with a clear finish.

“Use AI” is not a complete brief. “Capture after-hours service inquiries and send an accurate summary to the right location” is. Define the trigger, required information, permitted actions, successful outcome and human fallback. Begin with work your team can describe and review.

Small teams may start with calls and a booking link. Larger organizations may need separate knowledge owners, locations, permissions and rollout stages. The decision is about workflow complexity, not employee count alone.

What should your team prepare?

Inputs for an AI implementation brief
InputWhat to bringWhy it matters
KnowledgeCurrent hours, locations, services, policies and frequently asked questions. The agent needs an approved source and someone responsible for updates.
Handling rulesWhat may be answered, collected, changed or escalated.Familiar industry language does not establish authority to act.
System accessA list of systems, owners and available integration options.Compatibility and permissions determine what actions can be completed.
HandoffsDestination teams, operating hours and unavailable-team fallback.A request needs a next step even when a person cannot answer immediately.
MeasurementCurrent volume, completion, repeat contacts and review time.A baseline distinguishes improvement from extra demand or seasonality.

Define acceptance before rollout.

Use a written scenario set: a routine request, a missing fact, a corrected contact detail, an unavailable appointment, a failed connection and a request for a person. Test the languages and locations included in your scope. Confirm that retries do not create duplicate actions.

Choose acceptance criteria with the team responsible for the work. Examples include using the correct location policy, preserving the requested contact method, and reporting an action as complete only after the connected system confirms it. These are proposed checks, not a certification.

Launch in stages, with a way back.

  1. Discovery: document the workflow, baseline and ownership.
  2. Configuration: prepare knowledge, tone, actions and escalation rules.
  3. Integration: connect approved systems and handle errors.
  4. Review: run the scenario set with staff and fix failures.
  5. Pilot: release a defined scope with monitoring and rollback.
  6. Refinement: review recurring failures before expanding coverage.

Timing depends on access, content quality, integration complexity and review availability. A single location with a supported booking path has different requirements from a multi-department contact center.

Give people a clear role.

Your team remains responsible for policy, sensitive decisions and relationship work. Assign an owner for knowledge changes and another for operational review where needed. Train staff to read summaries, correct problems and take over smoothly. Track review time as part of the cost of operating AI.

Independent customer-support research found productivity gains for human agents receiving AI assistance. It does not establish a universal result for autonomous systems. Use evidence to choose a pilot, then measure your actual operation.

Common questions

Do we need to train AI on every industry term?

Familiar terminology is a starting point. You still need to define specialized knowledge, handling rules, approved actions and escalation.

Can we keep our current systems?

Where compatible access and permissions support the workflow, existing systems can remain in place. Integration feasibility is checked before an action is promised.
