Hotel pre-arrival requests: an AI routing guide for guest services
A hotel can use AI to organize pre-arrival requests by stay, department and required decision. The assistant can answer approved property questions and route requests for early arrival, luggage handling or other services. The useful outcome is an owned request with a current status; only the responsible staff or connected operational system should confirm fulfillment.
The workflow at a glance.
- 1Guest requestVerified stay and need
- 2Department taskOwner and required decision
- 3Guest updateConfirmed outcome
Make every request visible without overpromising
A guest mentions an early arrival, extra bedding and a dining question in one message. These needs may belong to different teams and have different confirmation rules. A single generic acknowledgment can leave the guest unsure which items are actually arranged.
Split the message into linked requests under the same stay reference, then name the responsible department for each. Keep requested, assigned, accepted, completed and unable-to-fulfill distinct. The front desk can see the whole conversation while each team sees the action relevant to its work.
Prepare property answers and routing rules
Maintain approved check-in information, luggage options, amenity details, accessibility contact routes and department hours. Assign owners to these facts. A temporarily unavailable amenity should not continue to appear in the assistant’s answer because an old brochure mentioned it.
Define what can be answered immediately and what depends on operational conditions. Early room access, upgrades and special arrangements often need a current decision. Collect the request, explain its status and avoid presenting a preference as a guaranteed part of the stay.
Your implementation worksheet
Use this original worksheet with the person who owns the workflow. Fill it from your current process before connecting tools. A blank answer is a design question to resolve, not an invitation for the assistant to guess.
| Define this | Record or decision | Who confirms it |
|---|---|---|
| Stay reference | Verified reservation context and arrival date | Front desk or property system |
| Request category | Information, amenity, arrival or concierge need | Guest-services routing owner |
| Department | Team responsible for action and backup route | Operations manager |
| Commitment | Requested, accepted, completed or unavailable | Responsible department |
| Guest reply | Approved response channel and current wording | Guest-services team |
| Changed stay | Cancellation or date-change handling | Front desk |
Connect the request to the right stay
Use the property’s approved verification process before discussing reservation details. A name alone may match several stays or reveal another person’s information. Once the stay is appropriately identified, confirm the arrival date and the request rather than asking the guest to repeat the whole conversation.
If the guest changes travel dates or cancels, update linked tasks so housekeeping or concierge staff do not prepare for an obsolete arrival. Where a property-management connection is unavailable, route the request to a staff review queue with the details needed to locate the stay securely.
Give departments a usable action and return path
A housekeeping task should show the relevant room or stay reference, requested item, timing and any staff-approved instruction. A concierge question should show the guest’s preference and the unresolved decision. Avoid forwarding a long transcript when a small structured task will do.
When staff confirm completion or an alternative, return the update through the agreed channel. Message statuses distinguish delivery from a send attempt. If the update fails, keep a front-desk follow-up visible rather than assuming the guest knows the outcome.
Test the exceptions before launch
A request needs an owned outcome
The following are proposed acceptance checks, not reported client test results. Run them with fictional records in an authorized test environment. For each case, record the expected outcome, actual result, reviewer and correction. Test the normal path as well, from the first request through the final saved state.
| Try this case | Expected behavior |
|---|---|
| Guest asks about someone else’s reservation | Use the approved verification route and reveal no private stay details. |
| Room is not available for early arrival | Keep the request pending or offer an approved alternative. |
| Guest cancels the stay | Cancel or review related preparation tasks. |
| One department completes only part of the request | Update that item without marking every request fulfilled. |
| Department does not acknowledge the task | Escalate to the configured backup owner rather than silently closing it. |
Start with one useful workflow
Start with two or three ordinary pre-arrival request categories. Give the front desk one overview and each department a clear queue. Test a changed arrival date and a partially completed request before broadening the scope.
Automate Planet can help connect the website, assistant and supported operational tools. Later phases can add multilingual approved content and more detailed reporting, with staff maintaining the answers and service commitments.

Measure the work that actually changes
Measure requests with an assigned owner, time to first departmental acknowledgment and time to a confirmed outcome. Separate information answers from tasks requiring physical work. Count failed guest updates and reopened requests.
Review whether the guest’s final message agrees with the department record. Fast acknowledgment alone is not a completed service, and more automated replies do not establish a better stay.
Connect useful search content to a clear next step
Create practical pages about arrival, luggage, amenities and how to request assistance. Keep the details specific to the property and give each page a relevant guest-services action.
Link from booking confirmations or pre-arrival information only through your approved communications. Public pages should answer common questions without exposing reservation details or internal operating notes.
Google’s AI-search guidance does not promise inclusion in AI answers. Keep your public answers current and link them to a working inquiry path.
Common questions
Can the assistant confirm early check-in?
Only when an authorized operational source or staff member confirms it. Otherwise it should record the request and explain the next step without promising room availability.
Can one message create several department tasks?
Yes. Keep the tasks linked to the same stay and conversation, with separate owners and statuses so completion of one does not close the others.
Does it need access to every guest record?
No. Grant only the access needed for the agreed workflow and use the property’s verification process before discussing private reservation information.
What if a guest changes their dates?
Update the stay context and review linked tasks. Pending preparation and reminders should not continue with the old arrival date.
Can the front desk still take over?
Yes. A staff handoff should include the original request, current status and unresolved question so the guest does not have to start over.
What should the first dashboard show?
Show owner, department, due time, current outcome and communication failures. Keep acknowledged requests separate from completed work.
